# Suppliers, schedules and the line kept moving

For manufacturers and industrial companies. Agents chase suppliers, keep the plan current, keep every certificate on file and answer customers about their orders, around the systems that run your plant.

One late part, two outcomes. Above, the slip is found on the day and pushes every step past the customer's date. Below, it is flagged in orange the day it moved, and nothing after it shifts.

A late component is never just one delay. Agents catch it early, tell the right people and keep the plan current.

## What the agents do at a manufacturer

Five teams carry an order from the supplier's part to the customer's site: procurement, planning, quality, sales and customer service, and, for makers of equipment, after-sales. Agents work alongside each of them, around your ERP, your plan and your lab.

### Procurement: Every input chased before the line needs it

Which late delivery stops production next week?

- **Chase by the production date.** Inputs are followed up by the day the line needs them, not the day the order was placed, so the resin for next week's run is asked about first.
- **Watch the imported inputs.** Additives, films, spares and machine parts from Europe and Asia are followed through the forwarder as well as the supplier, so a ship that slips is seen early.
- **Keep a second source ready.** For inputs that have stopped a line before, the second supplier's price and lead time are kept current, so switching is a decision, not a search.
- **Plan around the closures.** Eid, the summer months and the holidays at your suppliers abroad are written into the follow-ups, so orders go out early enough.

### Planning: One plan everyone reads the same way

Does everyone see the same plan today?

- **Keep the plan current.** A part that slips, a machine that is down, an order that grows: each change reaches the plan the hour it happens, from wherever it was reported.
- **Show what a change touches.** When a run moves, the planner sees the customer orders, the shifts and the materials that move with it before saying yes.
- **Send the plan to the floor.** Each shift supervisor gets the day's runs, materials and changes on the channel they read, in Arabic or English.
- **Plan the Ramadan and summer shifts.** Shorter hours and night shifts are written into the plan ahead, so capacity is not discovered on the day.

### Quality: Every certificate on file before the truck leaves

Is every certificate on file before shipment?

- **Check against the customer's own specification.** Where a customer's specification is tighter than the standard, each batch made for them is checked against theirs.
- **Ask for the inputs' certificates.** A lot of resin, steel or additive is not used until its certificate of analysis is on file and matches the lot.
- **Keep licences and marks in date.** Conformity certificates, product registrations and audit dates are tracked, and the renewal starts while there is time to arrange the audit.
- **Send the right certificate.** A customer asking for a certificate gets the one for their batch or shipment, not the latest one on file.

### Sales and customer service: Every customer told where their order is

Can customers get an answer without calling planning?

- **Say when it will be made.** A customer asking about an order hears the run it is in and the date it leaves, read from the plan, not a promise from memory.
- **Warn before the date moves.** When a run moves, the customers on it hear the new date first, from the salesman they know.
- **Confirm what can be made.** A new order is set against capacity and materials before the salesman promises a date.
- **Say when it has left.** When the truck leaves the plant, the customer hears the time and the driver, so the site is ready to receive it.

### After-sales and field service: Every installed machine serviced on time

Which machines you installed are due for service this month?

- **Know what you installed and where.** Each machine, its site, its running hours and its service history sit on one record, from the commissioning sheet on.
- **Book the service before it is due.** Visits are booked by hours run or by date, with the parts the service needs reserved before the engineer sets off.
- **Take the breakdown call in writing.** A customer reporting a fault on WhatsApp is asked for the model, the fault code and a photo, so the engineer brings the right part.
- **Offer the contract at the end of warranty.** As a warranty ends, the customer is offered a service contract, only if they agreed to hear from you.

## Beyond the five teams

Some of the work sits around the plant rather than on an order: the request to fix a machine, the file a big buyer keeps on you, the papers an export needs, and the figures a buyer abroad asks for about how something was made.

- **Maintenance requests, logged and closed.** A request sent on WhatsApp from the floor becomes a work order with the machine, the photo and the urgency, and the person who raised it hears when it is done. No request lost in a chat.
- **Your file with the big buyers.** Vendor registrations, trade licences, insurance and in-country value certificates that large buyers keep on file are tracked and renewed before they lapse. Never dropped from an approved list for a lapsed paper.
- **Export papers, shipment by shipment.** Certificates of origin, packing lists and the buyer's own forms are prepared from the order and the batch, ready before the container is loaded. No container held for a paper.
- **How it was made, for buyers abroad.** Fuel, power and output figures from your own records are gathered per shipment for buyers who ask how much energy went into what they bought, for your team to check. The figures ready when the buyer asks.

## How it works at a manufacturer

01 **Embed.** Our engineers walk the plant with procurement, planning and quality for a week, and trace each late shipment back to where it started. That becomes the baseline and shows where to start.

02 **Build.** An agent checks every part of the next run's bill of materials against stock and open orders, so a missing part is found days before the run, not at the line.

03 **Scale.** The record extends to quality, maintenance and customer updates, then across your plants, so a supplier that is late to one is watched for all of them.

04 **Measure.** Late deliveries, schedule changes and the hours spent chasing, against the weeks before we start, counted with your plant manager.

## No mark, no sale

More of what Gulf plants make now needs a conformity mark or certificate before it can be sold, and the evidence behind it, test results, batch records, audit findings, sits in the plant's own systems and on paper. A lapsed licence or a missing certificate stops a shipment, and every order behind it. Agents keep the evidence and the paperwork moving together, so a mark or a certificate is never what holds a truck at the gate.

A batch checked against its standard. Readings inside the band pass. The orange one outside holds the batch for a person; the retest passes, and only then is the certificate signed.

## Built around the systems you run

Nothing has to be replaced to start. Agents work around your ERP, read your plan, your lab results and your maintenance records, and write to suppliers and customers on the channels they already use.

- ERP
- Plant and MES systems
- Lab and quality
- Maintenance
- Supplier portals
- Email
- WhatsApp Business
- Production plan
- Spreadsheets

## What plant managers ask us

**Will agents change anything on our machines?** No. Agents work on the business side: suppliers, plans, papers and customers. Nothing is sent to a machine or a control system.

**Can it work with our ERP?** Yes, through the interfaces your ERP already has, whichever it is. Where the plan lives in a spreadsheet, the agent works from the spreadsheet until it does not.

**What if our customers' specifications differ?** Each customer's specification is kept with their orders and their product codes, so a batch is always judged by the one it was made for.

**Our buyers in Europe ask for emissions figures. Can agents help?** The figures come from your own records of fuel, power and output, and agents gather them per shipment for your team to check.

**Can agents call our suppliers?** Suppliers are written to on WhatsApp and email, in Arabic or English.

**Does it work across several plants?** Yes. Each plant keeps its own lines and plan, and suppliers, customers and certificates sit on one record across them.

**Where do we start?** With the inputs that stopped a line in the last quarter, followed with your procurement and planning teams for a week.
